Use of AI in your care

 
 

We are committed to providing you with high-quality, personalised care. To help your Occupational Therapist spend more time focusing on your individual needs, we may use an Artificial Intelligence (AI) system to support note taking, report writing, documentation, and enhancing development of intervention plans.

This page explains how the AI system works, what information may be processed, and your rights.

1. Description of the AI Technology
We use an AI system to:

  • Assist with accurate note taking during or after sessions

  • Support with drafting of reports, letters and other documents related to your care

  • Help structure and expand intervention plans in line with your therapy goals

The AI system organises and summarises information already collected by your OT. It does not replace your OT’s professional judgment. All client documentation where an AI system has been used as a tool are reviewed and approved by your OT before being used in your care.

2. Data Collected and Processed
The following information may be collected and processed:

  • Personal details (name, date of birth, contact information)

  • Health and functional information (such as medical history, physical assessments, therapy progress notes)

  • Information about your daily activities, needs and goals relevant to your OT plan

3. Purpose of Using AI
The AI system helps your OT to:

  • Prepare clear, accurate and timely notes and reports

  • Reduce administrative time so more time can be spent on direct care

  • Organise complex information to better plan and monitor your therapy

  • Maintain high standards of documentation for funding, reporting or referrals

4. Benefits and Limitations of the AI System
Benefits:

  • More accurate and efficient documentation

  • Supports clearer, well-structured reports and documents

  • Reduces the mental load on your OT, allowing more focus on direct care and planning

  • May help speed up some documentation tasks, but does not necessarily reduce the overall time needed to prepare quality reports

  • Helps ensure your therapy plans are clear

Limitations:

  • The AI system does not replace your OT’s clinical skills or decision making

  • All drafts produced by the AI are checked by your OT for accuracy and relevance

  • Technology may not capture every detail that your OT considers when working with you

5. Data Storage and Security
Your information will be stored securely in accordance with the Australian Privacy Principles (APPs):

  • Electronic information is protected by secure passwords, encryption and access controls

  • Only your Occupational Therapist and authorised staff can access your data

  • Data is stored on secure Australian-based servers where possible. If overseas storage is required, you will be informed of the country involved and additional safeguards will be applied.

  • If a data breach affecting your personal information occurs, we will inform you as required under the Notifiable Data Breaches Scheme.

6. Data Sharing
Your information will not be shared with third parties without your explicit consent, except where required by law (for example, if there is a serious threat to your safety).
De-identified information (with all personal details removed) may be used for service improvement or research purposes, but only with your consent.

7. Human Oversight
All documentation and reports created using AI are reviewed and approved by your OT. You can ask questions about how the AI is used or how your information is managed at any time.

8. Right to Decline
You have the right to decline the use of the AI system in your care. If you choose not to consent, this will not affect the quality or availability of your Occupational Therapy services. Your OT will use only traditional documentation methods.

9. Alternative Options
If you do not wish to use the AI system, your Occupational Therapist will complete all documentation manually.

10. Access, Correction and Complaints
You may request access to your personal information or ask for corrections at any time. If you have concerns about how your information is handled, please let us know. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
